Job Description

The BVI Health Services Authority (a client-centered healthcare organization) invites qualified and professional applicants to apply for the position of Administrative Officer (Medical Imaging Unit). They are responsible for the management of all administrative affairs of the Imaging Department and ensure smooth functioning of the unit. This includes the management of all budget and reporting functions of the department as well as coordinating the reports.


Responsibilities

PRIMARY DUTIES & RESPONSIBILITIES (included but not limited to):
1.Type office documents and correspondences for the unit manager/supervisor.
2.Assist with preparation of monthly and annual reports, annual budget and work plans.
3.Maintaining a leave management system for department personnel.
4.Management of the BVIHSA Human Resource system, e.g. PeopleHR.
5.Assist with the drafting of departmental biennial staff evaluation.
6.Records and prepares minutes of departmental meetings.
7.Coordinates appointments, reports and assists with meeting action items for unit head/supervisor.
8.Ensures work is performed in accordance with departmental policies and procedures.
9.Always observes patient and staff confidentiality, rights and privacy.
10.Assists with receptionist and clerical officer duties as necessary to ensure continued operations.
11.Liaise with the Human Resources Unit regarding Imaging Unit recruits to ensure completion of application and supporting documents, setting up interviews, staff business justification completion and assistance with onboarding.
12.Performs any other reasonable duties assigned by the supervisor that is required for the
smooth operation of the Medical Imaging Unit and patient welfare.
Office Management:
1.Maintain inventory of office supplies by organizing for the smooth operations of the unit including placing orders through Meditech.
2.Maintains office services by organizing office operations and procedures; controlling correspondences and staff documentation; designing filing systems; manage supplies; assigning and monitoring clerical functions.
3.Maintains the condition of the office and arranges for necessary maintenance.
4.Ensure that filing system (electronic and manual) are kept updated.
5.Ensure office equipment in good working condition.
Contributes to the improvement and maintenance of the BVIHSA’s quality management system, ensuring that services meet acceptable standards. This contribution includes, but is not limited to, participation in process improvement projects, strict adherence to applicable standards (Department policies, DNV ISO, etc.) and involvement in addressing non-conformities.

Qualifications / Experience / Eligibility

MINIMUM REQUIREMENTS:
Educational/Training Requirements
❖Associate’s Degree in Office/Business Administration, Bachelor’s Degree preferred.
Experience
❖Two years post qualification experience having worked in a clinical office setting.
Knowledge, Skills, and Abilities:
❖Ability to type at 65 words per minute
❖A sound knowledge of medical terminology.
❖Good written and verbal communication skills.
❖Good computer skills and is familiar with word processing, spread sheets and data base software.
❖Excellent eye, hand, and auditory coordination.
❖Ability to operate standard office equipment inclusive of computers, printers, photocopiers, dictation and transcription machines.
❖Sound knowledge of office practice and procedures.
❖Ability to work independently with minimal supervision.
❖Ability to be courteous and maintain patient confidentiality
❖Is personable, is a team player, is flexible and is service minded.
❖Must be customer service oriented.
❖Ability to work under pressure while maintaining high standards and meeting deadlines.
