Job Description
To provide administrative, data management and technical support in an efficient and effective manner to support the registration of voters and the management of data.
Responsibilities
- Ensure the smooth and efficient operation of the Office of the Supervisor of Elections through administrative and technical support.
- Provide professional frontline customer service for voter inquiries and complaints, and registration assistance. legislation.
- Assist in the administration, maintenance and ensure the security of records, filing systems and election related documents relevant to the Office of the Supervisor of Elections, ensuring accessibility, data integrity, and compliance with confidentiality standards.
- Provide clerical support by completing all photocopying, scanning, binding and typing in a timely manner to facilitate the effectiveness and efficiency of the Office of the Supervisor of Elections.
- Assist in monitoring and maintain election related technical infrastructure, including electronic voting systems and related equipment.
- Execute the processing, distribution and tracking of voter registration cards, ensuring compliance with updated eligibility requirement, while supporting the maintenance of voter registration databases and facilitate the printing and issuance of updated voter registration cards.
- Comply with data entry standards, and support the review of the voter registration and election management system to promote its maintenance and integrity.
- Assist in the recruitment of election officers by supporting the assessment of their suitability for various posts, and delivering training sections on the use of electronic voting equipment and related procedural updates to ensure operational readiness.
- Support the implementation of new projects that contribute to overarching governmental goals, which include but are not limited to:
a. The secure introduction of electronic voting and related systems.
b. Alternate voting methods. - Ensure all forms and preliminary and revised voters lists are provided to all districts per election law requirements.
- Assist with the maintenance and management of records related to electoral processes that include but are not limited to:
a. Alternate methods of voting - Assist in the implementation of updated electoral security measures that include but are not limited to:
a. Absentee ballot tracking - Assist and participate in the delivery of public outreach activities on electoral reforms, electronic voting procedures, and voter eligibility requirements.
- Oversee and assist in the setup, troubleshooting and routine maintenance of election technology including electronic voting systems [electronic tabulating systems and electronic poll books’ ensuring compliance with functionality and cybersecurity standards.
- Conduct field visits to verify residential addresses at the request of the Supervisor and/or Deputy Supervisor of Elections to Ensure prover voter placement in electoral districts.
- Assist the Supervisor and Deputy Supervisor in comprehensive election logistical planning, including identifying suitable polling stations, coordinating transport arrangements, overseeing the setup, secure distribution, delivery and retrieval of election equipment and materials, and ensuring proper collection and storage post-election.
- Assist in preparation and distribution of packets of elections material.
- Assist in the timely distribution of election materials and publication of preliminary and revised voters lists to the public and outer districts.
- Perform any other duties as required by the supervisor or senior officers in order to contribute to the effectiveness and efficiency of the Office.
Qualifications / Experience / Eligibility
- High School Diploma or equivalent
- Three (3) years working experience
- Valid BVI driver’s license (if required)
